How Many Chairs and Tables Do You Need per Guest?

The first question before any order is: how many chairs do I need?

There is no single number. It changes with the type of event. What follows are general planning rules for estimating, not fixed limits.

Start from the type of seating, not the count

A guest at a short event is different from a guest who stays for hours.

• Short stop or standing hospitality: fewer chairs than guests, because many people move around.
• Long sitting or a meal: every guest needs a seat. Don't cut seats here.
• Floor majlis: measure the length of seating along the edges, not the number of pieces.

Chairs: one seat per guest for long events

If guests will eat seated, count one chair per guest, then add a small margin.

If guests come and go during the event, as at a condolence gathering, fewer seats may be enough at any one time.

Ask yourself: how many guests will be in the space at the same moment? That is the number that matters, not the total who will pass through.

Tables: seats per table

A round table usually seats eight to ten, and some sizes seat fewer. A long table seats by its length.

An easy rule:

1. Divide the guest count by the seats around one table.
2. Round the result up.
3. Add one small table for sweets, coffee or reception.

Space: don't squeeze your guests

Crowding spoils the nicest layout. As a rule of thumb:

• Chairs in rows: less space per person.
• Chairs around tables: more space, because chairs are pulled out and guests walk behind them.
• Service paths: leave one wide enough for a hospitality tray to pass.

Add a margin nobody sees

Sometimes more guests arrive than expected. Add a small margin above your estimate, and make it pieces that are quick to bring in, such as extra chairs.

Don't overdo it. Unused pieces take up space and add to the crowding.
